Private collection records age best when they are reviewed regularly. Once a year is enough for many collectors. The goal is not to complete every history. The goal is to catch missing photos, stale locations, unsupported notes, and documents that never made it into the record.

Start with location

Check whether each artwork is still where the record says it is. Update room, wall, storage, custodian, or movement notes. If a work moved during the year, add the date and reason if useful.

Refresh key photos

Add new photos for works that moved, changed frames, entered storage, returned from review, or have visible condition details worth comparing. Keep the photo date visible in the record.

Attach documents that are still loose

Look for receipts, invoices, conservation notes, shipping records, storage documents, family notes, and emails that still sit outside the artwork record. Attach what matters and label the source clearly.

Review value-adjacent fields carefully

Purchase price, user-provided insurance value, and professional documents should stay clearly labeled. Do not turn last year's private note into current market value unless a qualified review supports that update.
