After buying artwork, the paperwork and memory are briefly in one place. A receipt is still in your inbox. The seller description is still visible. The artwork may still be wrapped, framed, or waiting to be hung. That is the moment to make a practical private record.
The record does not need to settle every attribution, value, or provenance question. It should preserve what came with the purchase and make open questions visible.
Save the purchase source
Attach the receipt, invoice, gallery note, auction confirmation, seller email, or bill of sale if you have one. Record the seller or source name, purchase date, and any item number or lot number that appeared in the transaction.
If the seller description includes title, artist, date, medium, size, or condition language, keep that language connected to the source. Do not rewrite it as a stronger statement than the source supports.
Create the first photo set
Photograph the artwork soon after arrival. Capture the full front, reverse when safe, frame, labels, edition marks, signatures, packaging labels, and any visible condition details. If the work arrived with documents, photograph or attach those too.
Fresh photos help later conversations because they show what was visible near the acquisition date.
Record user-provided value carefully
The purchase price can be useful private context. Label it as a purchase price, not as current market value. If you add an insurance value or replacement estimate, label it as user-provided unless it comes from a specific professional document attached to the record.
Archivale records should keep value context clear without making appraisal, tax, legal, or coverage claims.
Track where it goes first
Add the first location: room, wall, storage area, studio, framer, or other custodian. If the artwork is waiting for framing, conservation review, photography, or storage, record that as the current status.
Location is often the first detail lost after acquisition. A simple note can save time later.
